1. Introduction
SAMCH Official (“App”) is an employee attendance, workforce-management and workplace-monitoring application developed by Space N Lab for Satya Ayurvedic Medical College and Hospital.
The App is intended exclusively for authorized organizational and employment-related use. It enables the institution to manage employee attendance, working hours, workplace/classroom presence, work-related location information and other employment-related records.
This Privacy Policy explains how the App accesses, collects, uses, stores, protects and manages personal and sensitive information.
By using SAMCH Official as an authorized employee or administrator, you acknowledge that the institution may process information through the App for legitimate workplace-management, attendance, payroll, operational, security and employment-administration purposes, subject to applicable law and organizational policies.
2. Employee Monitoring Disclosure
SAMCH Official is an enterprise employee-management and monitoring application.
The App may collect and transmit employee attendance and work-related location information during the monitoring periods configured by the institution.
Depending on the features enabled by the institution, authorized administrators may be able to view or manage:
- Employee attendance
- Check-in and check-out times
- Working hours
- Workplace/classroom presence
- Current work-related location
- Location history
- Assigned workplace or classroom
- Attendance irregularities
- Work-related activity records
- Employee conduct-related records
- Other information necessary for workforce administration
The purpose of this functionality is to enable the institution to manage attendance, workplace operations, employee deployment, payroll, workplace compliance, security and employment-related administration.
The App is not designed or marketed as a secret surveillance or spying application.
Google Play requires legitimate enterprise-monitoring applications to disclose their monitoring functionality and use the appropriate monitoring-tool classification.
3. Information We Collect
The information collected depends on the features configured and enabled by Satya Ayurvedic Medical College and Hospital.

The App may collect:

6. Background Location
Where required for the App’s core employee-monitoring functionality, SAMCH Official may collect location information while the App is running in the background or while the employee is not actively viewing the App.
Background location may be used to maintain attendance and workplace-presence information during authorized working or monitoring periods.
The App will not use background location for advertising.
Google Play has specific requirements for applications requesting background location, including an appropriate in-app prominent disclosure, runtime permission flow, privacy policy and Play Console declaration.
7. Mobile Device Information
To operate and secure the App, we may collect limited technical information such as:
- Device model
- Android version
- App version
- IP address
- Network information
- Authentication/session information
- Push-notification token

Workplace/Classroom Monitoring
To verify whether employees are present at their assigned workplace, office, classroom or other authorized location.
Live Location Monitoring
To allow authorized institutional administrators to view an employee’s current or recent work-related location where this functionality has been enabled.
Salary and Payroll Processing
Attendance and approved working-hour information may be retained and used for salary generation, payroll processing, overtime calculations, incentives, deductions and related employment administration.
Workforce Management
To support employee deployment, scheduling and operational management.
Workplace Security
To investigate attendance irregularities, unauthorized workplace activity or legitimate workplace-security incidents.
Conduct Administration
Where enabled by the institution, attendance, workplace-presence, location and other work-related records may be considered by authorized management personnel when reviewing compliance with workplace policies and conducting employment-related processes.
10. Employee Conduct and Activity Information
SAMCH Official may allow authorized institutional personnel to review information relating to an employee’s:
- Attendance
- Workplace presence
- Assigned location
- Work-related movement
- Attendance irregularities
- Work-related activity records
- Compliance with organizational attendance policies
Such information may be used for legitimate organizational purposes, including attendance administration, operational management, workplace compliance and conduct-related employment processes.
SAMCH Official does not independently make employment, disciplinary or termination decisions.
Any employment-related decision remains the responsibility of Satya Ayurvedic Medical College and Hospital and its authorized personnel, in accordance with applicable law and institutional policies.
11. Data Storage and Retention
Attendance, location, workplace-presence and employment-related information collected through SAMCH Official is stored securely for organizational use.
Because attendance information may be required for salary generation, payroll reconciliation, audits, employment records, dispute resolution and historical reference, records may be retained for an extended period.
Retention Policy
Attendance, location and related employment records may be retained permanently or for as long as required by the institution for legitimate employment, salary, payroll, audit, legal, regulatory or historical record-keeping purposes, subject to applicable law.
Where applicable law requires deletion, restricts retention, or grants an applicable right to deletion, the relevant legal requirements will be followed.

We do not sell or rent employee personal information.

SAMCH Official does not sell, rent, lease or commercially trade employee personal information.
Employee information is not collected for advertising purposes.
We do not sell employee location information to advertisers, marketing companies or data brokers.

We use reasonable technical and organizational safeguards to protect information against unauthorized access, alteration, disclosure, misuse or destruction.

- Report incorrect attendance or location information to the institution.
18. Location Permission and User Disclosure
Before requesting sensitive location permissions, the App should provide users with a clear explanation of why location is required.
For background location, the App will disclose that location may be collected when the App is in the background or not actively being used and explain the relevant features that depend on this information.
Google requires prominent disclosure and appropriate consent before collecting sensitive personal information in circumstances where the collection may not be reasonably expected.
